Job Description

Primary Purpose:
Provide administrative and governance support to the Executive Committee, primarily Finance Director according to set standards and requirements.

Key Responsibilities:
  • Responsible for the Directors’ office administration, which may include but is not limited to drafting letters and other forms of communication, filing documentation, assist in distribution of material.
  • Organising and servicing meetings chaired by the Directors, including but not limited to sending communication, taking minutes.
  • Maintain the Directors’ diary and arrange appointments.
  • Responsible for logistical arrangements of all travel and out of office arrangements for the Executive Committee.
  • Provide general secretarial duties for offices of the Directors, including not limited to photocopies, answering phones, relaying messages.
  • Responsible for the housekeeping of the offices of the Directors.
  • Ordering stationery and refreshments for the Directors’ office.
  • Attend to all logistical arrangements for the Executive Committee.
  • Maintain and update filing system for all documents in the Directors’ offices.
  • Keep all financial, strategic, and legal information strictly confidential.
  • Organise governance documents, keep records updated, and assist with preparing material for Executive Committee and leadership sessions.
  • Do a basic check on draft commercial contracts, draft policies, procedures and other governance documents with a focus on quality check of the content before submission to the appropriate Executive Committee Member.
  • Collect, store and utilise data on service providers for service used on a regular basis by the Executive Committee.
  • Collect, store and utilise data on key customers for Executive Committee.
  • Use Microsoft Suite for streamlining information sharing and information gathering.
  • Serve as the entry point to the offices of the Directors and receives visitors to these offices.
  • Communicate to internal or external stakeholders on behalf of the Directors.
  • Engage with external service providers as may be required.
Job Requirements:
  • NQF Level 7 in the fields of Business Administration or Office Administration or Law or Communications or relevant field.
Work Experience:
  • Minimum five (5) years’ experience in similar role.
Other Requirements:
  • Strong Microsoft office background (advanced excel, word, access).
  • Legal background will be an added advantage.
